Temporarily close your studio with Closures

Whether it’s a public holiday, a studio renovation, or a well-earned break, there will be times when you need to temporarily close your studio. Clovo’s Closures feature lets you schedule closures in advance so that classes are automatically cancelled and your clients are kept informed.

What is a closure?

A closure is a defined period during which your studio will not be operating. When you create a closure, Clovo will automatically cancel any class openings that fall within the closure period and notify booked clients.

How to create a closure

1. In Clovo Studio, go to Operations > Closures.
2. Click Add Closure.
3. Set the start date and end date of the closure.
4. Add an optional reason for the closure (e.g. “Christmas break” or “Studio maintenance”).
5. Save the closure.

What happens during a closure

• Class openings are cancelled — any openings that fall within the closure dates are automatically removed from your timetable
• Booked clients are notified — clients who had bookings during the closure period are informed via email and push notification
• Credits are restored — any credits used to book cancelled classes are returned to the client’s pack
• Your schedule is preserved — your underlying weekly schedule is not affected, so classes resume automatically once the closure period ends

Closures vs. cancelling individual classes

If you only need to cancel a single class, use the cancel class feature instead. Closures are designed for multi-day shutdowns where cancelling each class individually would be impractical. You can also set up closures well in advance, giving your clients plenty of notice.

Tips

• Create closures as early as possible so clients can plan around them
• Use the reason field to keep a record of why each closure happened
• Consider pausing memberships during extended closures to maintain goodwill with your clients
